Shared Services Coordinator

Job Type: Full Time Exempt & Part-Time Exempt

Number of positions: 2

Santa Fe, NM / Hybrid Remote.
One of the positions requires presence at our office in Santa Fe at least once a week.

Position Summary

WildEarth Guardians seeks two collaborative, creative people with problem-solving aptitude and a willingness to learn and develop new skills. The ideal candidates will support the employee lifecycle including but not limited to recruiting, onboarding & offboarding, training initiatives, in addition to managing payroll changes, monthly credit card and invoices, providing executive support, basic event management as well as fundraising and administrative duties. Financial, event management or fundraising education or experience are helpful but not required!

The Shared Services Coordinator(s) will work closely with the following teams: People & Culture, Finance & Operations, Development, and with the Executive Director to deliver recruitment and onboarding assistance, support the accounts’ payable function and assist with donor engagement activities.

In this role you will provide centralized operational and administrative support for People & Culture, Finance and the Executive Director. One of the positions will be supervised by the Director of People & Culture and the other position will be supervised by the Director of Finance & Operations.

Essential Duties & Responsibilities

  • Coordinate with hiring managers for job and internship posting, application reviews, logistics for interview candidates, and onboarding
  • Conduct new hire orientation, reference checks and I-9 verifications
  • Assist with the creation and development of materials, templates and tools for onboarding, training, leadership development.
  • Generate reports on results, trends and data for recruitment and relevant human resources
  • Reconcile various reports (credit card donations, bank deposits, payroll changes and monthly benefits tracking, etc.)
  • Manage monthly credit card coding, organize receipts and prepare credit card data for import to our accounting software.
  • Support Executive Director with donor communications (email, letter drafting, printing and mailing) and assist the Development team with major donor events, assembling donor packages, and researching individual donor prospects.
  • Enter data into donor database and generate various reports related to donor engagement
  • Convert paper documents to e-files, organize and manage personnel files

Skills & Knowledge (4-6, Required)

  • Strong relational skills and comfortable communicating with people outside of the organization (donors, college career centers, potential vendors, etc.)
  • Proactive, creative thinker with proven ability to take initiative and work collaboratively.
  • Strong organizational skills and enjoys accuracy and being detail oriented
  • Knowledge of and experience with Microsoft Office (Excel proficiency required)
  • At least 2 years of experience in an administrative supporting role, or human resources, accounts payable or office management
  • Ability to identify issues, solutions for DEIJ and advance DEIJ best practices, principles and goals
  • Desire to work in a non-profit organization with people who are passionate about their work.
  • Ability to learn and use various technology-based tools: fundraising databases, onboarding platforms, accounting software, etc.
  • Ability to research, ask questions, investigate and problem solve
  • Strong communication skills (verbal and written)

Work Hours:

1 Full-Time Exempt (40 hours/week) and
1 Part-Time Exempt (20 hours/week)
OR 2 Part-Time Exempt (29 hours/week)


(FT) $55,000 – $61,000
(PT) $27,500 – $45,000
Both ranges are equivalent to $26.44/hr – $29.33/hr.


WildEarth Guardians offers a flexible and generous benefits package for staff. Benefits for full-time staff include 100% medical and dental employee coverage paid for by the employer, vision, life, and disability coverage, a 403(b)-retirement plan with a 3% match after 2 years of full-time employment, paid and unpaid health and family leave, a sabbatical policy, sick leave, three weeks paid vacation to start, and fourteen holidays including 5 floating holidays to be taken at any time. Benefits are prorated for part-time employees to correspond to the employee’s schedule: holiday, vacation, sick time, 403(b) retirement plan with a 3% match after 2 years of full-time employment. Part-time employees are not eligible for health coverage or sabbatical leave.
